This policy covers our website www.mind-gap.co.uk, our online learning platform, and the services we deliver to individuals and organisations.
The law requires us to have a valid reason (a "lawful basis") for using your personal information. Here is what we do and why.
| What we do | Lawful basis |

| Provide online courses, track progress and issue certificates | Contract |
| Handle health or other sensitive information you choose to share during coaching | Your explicit consent |
| Invoice clients and keep financial records | Contract and legal obligation |
| Send our newsletter and leadership insights | Consent, or legitimate interests for existing clients (you can opt out at any time) |
| Understand how our website is used and improve it | Consent (for analytics cookies) |
| Keep our systems secure and meet our legal and accreditation obligations | Legitimate interests and legal obligation |
Where we rely on consent, you can withdraw it at any time by contacting us. This will not affect anything we did before you withdrew it.
This is the heart of our work, so we want to be especially clear.
We do not sell, rent or trade your personal information. We only share it where needed, with:
All service providers act on our instructions under written agreements and must keep your information secure.
Some of our service providers store or process data outside the UK, for example in the European Economic Area or the United States. When this happens, we make sure your information is protected by one of the safeguards recognised under UK data protection law, such as:
Members of our team may occasionally access information from outside the UK. When they do, they use the same secure, access controlled systems and the same standards apply.
We keep personal information only for as long as we need it. As a guide:
| Type of information | How long we keep it |
|---|---|
| Enquiries that do not lead to work | Up to 2 years from last contact |
| Coaching session notes | Up to 12 months after the end of the coaching programme |
| Psychometric profiles and 360 feedback reports | Up to 3 years after completion, so they can be revisited on follow up programmes |
| Qualification and course records | As required by the awarding body (usually at least 3 years) |
| Contracts, invoices and financial records | 6 years after the end of the financial year they relate to |
| Newsletter subscriptions | Until you unsubscribe |
After this, we securely delete or anonymise the information.
We use appropriate technical and organisational measures to protect your information, including multi factor authentication, encrypted storage and access limited to the people who need it. No system is completely secure, but if a data breach occurs that is likely to put you at risk, we will tell you and the ICO as the law requires.
If you sign up, we will send you practical, research based leadership insights and news about our services. Every email includes an unsubscribe link, and you can also ask us to remove you at any time. We will still send essential service messages about any work we are doing together.
